Admin assistant

An exciting new opportunity has arisen for an Adminstrative Assistant to join the team based in our Montrose office.

Position description 1.Accuracy and professional standard of general administration duties
2.To maintain the confidentiality of personnel details as appropriate
3.To meet personal targets set for the individual as agreed under the appraisal system, keeping such targets under regular review (at least monthly) and taking appropriate action to maintain performance against targets with support from and in collaboration with other colleagues as necessary

Responsibilities 1.To organise visa’s to allow engineers to travel.
2.To organise engineers travel and accommodation
3.To liaise with clients and engineers with regards to travel.
4.To process all invoices in SAP system
5.To open jobs in SAP
6.To create and verify suppliers’ Purchase Orders and verify any differences.
7.General clerical/administration tasks to a high standard and within set / or reasonable timescales which include but are not limited to producing engineers work statistics report, updating global planning tool, creating presentations, dealing with general queries, filing, mail etc.
8.Maintain administration databases and/or spreadsheets
9.To carry out personal assistant duties to include; diary management, minute taking, organising functions/meetings, prioritising and responding as necessary to line manager’s e-mails
10.Assist in the travel and hotel bookings for personnel
11.To cover Reception duties as and when required
12.Ensure that all duties are carried out in accordance with Wärtsilä ISO processes and procedures
13.To comply with the company’s Quality, Health & Safety and Equal Opportunities policies.
14.In addition to the above duties and responsibilities, the post holder must be prepared to undertake such additional duties which may result from changing circumstances, but which may not of necessity, change the general character or level of responsibility of the post.
Requirements Good communication skills
Ability to work on own or part of a team Minimum HNC in business administration or equivalent prefered Computer literacy and competence in MS Word / Excel / Outlook is essential.
Previous office experience is preferred but not essential.
Previous knowledge of SAP would be beneficial, but not essential.
