Coordinator, Parts Coordination Management

Wärtsilä Global Logistics Services (WGLS) manages the entire logistics chain of Wärtsilä OEM parts, from order intake to customer delivery.
To accomplish this, the team is built with three delivery functions; Parts Coordination Management (PCM), Parts Supply (PS) and Parts Delivery (PD).
Parts Coordination Management (PCM) works with both internal and external customers to support Parts offers, Order confirmations, as well as, providing critical information throughout this process to multiple stakeholders.

Position description We are looking for a Parts Centre Coordinator in Singapore in Parts Centre North-East Asia, covering Service Units China (SUCN) and East Asia (SUEA).
PCM Centre takes care of handling the Spare Part quotations, orders and deliveries for the customers within Service Units China (SUCN) and East Asia (SUEA).

Responsibilities Main Responsibilities:

- Act as Customer Contact for spare parts orders, quotations, deliveries and invoices
- Ensure correct Customer Master Data and Order Handling Instructions
- Handling and coordination of quotations and orders according to working procedure and guidelines
- Ensure Quality of Sales Documents
- First level Spare Parts Identification i.e. checking the basics (correct SPN, decryption, notes etc.)
- Follow-up of parts deliveries according to agreed process
- Ensure that BL is on agreed level
- Documentation follow-up for orders and quotations
- Claim recording
- Act as a link between Sales, customers (internal & External) and various departments involved in spare part delivery process
- Communicate with external and internal interest parties regarding inquiries, orders and deliveries
- Identifying and reporting of possible improvement areas in the way of working (system or otherwise)
- Create invoices and other possible documents needed for delivery
- Create purchase orders and liaise with external vendors
- Off hour support for spare part deliveries (24 hrs service)
- Other duties as requested by the superior
- Handle special agreements and arrangements
- Train and support new coordinators
- Act as support and back-up for superior
- Capable handling all customer modules
- Other duties as requested by the superior

B.Sc. or M.Sc. degree (technical or commercial)
