Office Coordinator & Accounting Assistant - Vancouver

Position description Main Responsibilities Office Coordinator:
-Full receptionist duties, including handling busy switchboard in a very professional manner; screen calls for select personnel, greet persons entering the office, ensure knowledge of staff movements in and out of the office, monitor visitor access and maintain security awareness.
-Administrative tasks and support for local departments, provide general administrative and clerical support, prepare correspondence and documents as directed.
-Assist with travel arrangements
-Look after the general requirements of the local office, set up meetings and conferences including catering, monitor and maintain office equipment, control inventory related to reception area and general office supplies
-Sort and distribute mail, faxes
-Prepare and send out couriers using established company accounts

Main Responsibilities Accounting Assistant:
-Support Company Accountant, Service Unit Controller
-Provide support and assistance with Business Control Center and Wartsila Shared Services Center (WSSC) staff
-Ensure that all documents are posted timely and correctly in SAP and filled as per legal requirements
-Process bank deposits as required
-Assign cost objects and apply tax codes to account payable invoices
-Check and scan invoices and travel expense reports to WSSC
-Clean-up of Corporate Business Travel airfare account on monthly basis
Requirements Education & Experience:
-3 to 5 years related work experience in similar position
-Bachelor degree or equivalent experience & skills

Knowledge of:
-SAP
-Negotiating skills
-Workplace health and safety regulations
-Federal and provincial tax laws & regulations
-General accounting and auditing procedures
-High level of organizational and administrative ability
